Operations Supervisor

The Operations Supervisor is responsible for supervising the Operations team, 2 staff,  whilst also being hands on in handling own jobs and accounts of export, import and cross trade consignments, ensuring all activities are undertaken to maximize levels of customer satisfaction and in strict compliance with export and other shipping regulations.

Salary £30-32k location Rugby

Key Accountabilities:

Supervision of Operations team (including training, work distribution, appraisals, performance management and employee relations).

Responsible for HMRC co-ordination and related issues for the team.

Reconciliation and preparation of MSS & IPR & any other Custom reports as required & submit to clients Customs Compliance Team.

Company representative at Customer Operational meetings.

Preparation of shipping / transport quotations.

Preparation of invoices, packing lists, collection / despatch notes and any other related export documentation required for export despatches.

Booking despatches with hauliers / forwarders / despatch depot / shipping lines.

Entering bookings into our bespoke shipment software.

Monthly reporting to MD and management team in respect of the teams activities.

Managing of specific projects.

Expediting shipments and dealing with queries.

Processing of supplier and customer invoices, ensuring costs are correct on the bespoke software.

Answering telephone, expediting orders and shipments, dealing with inter-company and external queries.

Expediting and dealing with queries.

Must have the following:

Knowledge of shipping methods and terminology.

Thorough understanding of a logistics business.

Understanding of Incoterms 2020.

Proven experience in an Operations Assistant role within a freight forwarding environment.

Intermediate experience of MS Office programs.

Proven customer service experience.

Excellent numeracy skills.

Excellent communication skills (both written and verbal).

Excellent attention to detail and a high level of accuracy.

Excellent interpersonal skills.

Strong administration skills.

Able to build relationships with suppliers and customers.

Professional attitude and telephone manner.

Must be able to attend occasional meetings at the Company head office.
